PRIVACY AND DATA FOR TRACKR

Privacy and data protection for Trackr

Your AI job application tracker

Trackr is an AI job application tracker and job search dashboard for job seekers and career switchers. This page explains how we handle your job search data such as CVs, job descriptions, and match scores, how AI is used, and how you stay in control of your data.

We keep things simple, human, and focused on protecting your job applications.

1

What data we store

What you save

We store the job search data you choose to add to Trackr, including:

  • • CV / résumé files
  • • Job descriptions (JDs)
  • • Notes and events on each application
  • • Match scores and analysis
  • • Cover letters and interview prep content

Where it lives

  • • Structured data (jobs, CV records, match scores, events) is stored in a Postgres database
  • • Files (CVs, JD snapshots) are stored in private object storage
  • • Everything is tied to your Trackr account and scoped to your user only

What we do not store

  • • We do not copy your job search data into third party training sets
  • • We do not sell your CVs, job descriptions, or application history
2

How AI is used on your data

Which features use AI

Trackr is an AI job search tool that uses models to help with:

  • • JD parsing and structuring
  • • CV–JD match scoring
  • • Cover letter generation
  • • Interview preparation
  • • Future analytics commentary on your job search patterns

What we send to the model

  • • The text of the job description and the CV content (anonymised)
  • • Any notes needed to answer your request (for example context for interview prep)
  • • Only the minimum job search data required to perform that specific AI action

How we minimise personal information (PII)

  • • We avoid sending email addresses, phone numbers, and exact street addresses in prompts where possible
  • • Your CVs are anonymised before being sent to the AI, stripping unnecessary personal details
  • • Only the job description and relevant CV text plus minimal context is used for scoring
  • • We do not ask AI models to store long term profiles of you outside each request
3

Data ownership and control

You own your data

  • • Your CVs, job descriptions, notes, match scores, and job applications remain yours
  • • You can request an export of your job search data (for example in JSON or CSV format)
  • • You can delete your account if you no longer want to use Trackr

What happens when you delete

  • • Primary records linked to your account are removed from the live database
  • • Files in storage (such as CVs and JD snapshots) are deleted or unlinked
  • • Any remaining data in system backups is rotated out on a regular schedule as part of normal backup cycles
4

Security basics

Account protection

  • • Accounts are protected by a modern authentication provider
  • • All traffic uses encrypted transport (HTTPS)
  • • We do not recommend or support password sharing across services

Storage and access control

  • • Job search data is scoped per user account
  • • Only restricted admin access is allowed for operations such as support and maintenance
  • • Access is logged and limited to what is needed to run the service

File handling

  • • CVs, JDs, and other files are stored in private buckets that are not publicly accessible
  • • Direct access links are signed or protected by authentication where applicable
5

Third party services

AI providers

  • • We use third party AI providers (for example OpenAI or similar) to power features like match scoring and cover letters
  • • Your prompts and model responses may be logged by those providers according to their own privacy policies
  • • We send only the minimum job search data needed to get the result you asked for

Infrastructure and analytics

  • • Trackr may run on platforms such as Vercel and a managed database host
  • • We may add error tracking and product analytics to understand performance and feature usage
  • • We only send minimal technical and usage data needed to keep the AI job application tracker fast and reliable

Links to each provider’s privacy and data handling pages will be listed here when those providers are in use.

FAQ: privacy for your CV and job applications

Is Trackr safe for my CV and job applications?

Trackr stores your job search data (CVs, JDs, match scores, notes) in a database and private file storage tied to your account. Access is scoped per user, traffic is encrypted, and only minimal data is shared with third party services needed to run the AI job search tool.

Does Trackr use my data to train AI models?

Trackr does not create its own training sets from your job search data. Third party AI providers may use prompts and responses according to their policies, which we link from this page. We aim to minimise what we send and avoid unnecessary personal details.

Can I use Trackr with applications from LinkedIn, company sites, and recruiters?

Yes. Trackr is designed as a central job application tracker. You can paste job descriptions from job boards, company sites, and recruiter emails and attach the CV you used so everything is stored in one place.
